Managing Reports as a Project Administrator

When a report is submitted, it is automatically assigned to the project administrator for handling.
As a project administrator, you are responsible for reviewing, taking action, and properly closing the report.


Step 1 – Review the Report

  1. Read through the report carefully.

  2. Decide whether the report requires an action or if it is sufficient to document and close it immediately.

  3. Indicate your decision by answering Yes or No to the question:
    “Is action required?”


Step 2 – Create Actions (if needed)

If the report requires actions:

  1. Open the report.

  2. Under Actions, select Yes.

  3. Fill in the following details:

    • Location (can be marked on a drawing if the function is enabled).

    • Description of the action.

    • Risk level.

    • Due date and time.

    • Responsible person.

  4. Images and drawing markings:

    • If the reporter attached images or marked a location on a drawing in the original report, these will automatically appear in the action.

  5. Click Save.

  6. Add more actions if necessary.


Step 3 – Follow-up and Forms

  • If you selected Yes and created actions → follow-up is required once the action has been completed.

  • If you selected No (no action required) → note that in some cases, follow-up forms may still need to be completed, such as:

    • Accident follow-up

    • Injury report related to the accident

👉 These forms are part of the project’s report flow and must be completed before the report can be closed.


Step 4 – Close the Report

Before closing the report, make sure that:

  • All actions have been completed (if any were created).

  • All follow-up forms have been filled out (even if Action Required = No).

Then:

  1. Click Close Report.

  2. The report status will change from “In Progress” to “Closed.”

👉 Important: Answering No to “Is action required?” does not always mean you can close the report immediately — the system may still require a follow-up.
